Job Description:

The Stewardship & Donor Relations Coordinator for the Spartan Fund in Michigan State University Department of Intercollegiate Athletics serves as a collaborative strategist and facilitator by developing and implementing a department stewardship program and assists with donor relations engagement efforts. The Stewardship & Donor Relations Coordinator will conceptualize and execute a cohesive and comprehensive stewardship and donor recognition program for alumni, donors, friends and supporters of the Spartan Fund. The Stewardship and Donor Relations Coordinator reports to the Sr. Director of Special Events & Stewardship.
The Coordinator will develop the strategies, programs and materials necessary to ensure that Spartan Fund donors receive high-level stewardship, communication and engagement opportunities based on best practices.

Responsibilities will include, but are not limited to:

  • Develop an intimate knowledge of current endowments residing in the Spartan Fund and identify the ways they are being used or reinvested.
  • Annually prepare Endowment Activity Reports and accompanying letters and electronic support materials to be sent to donors and those notified of endowment activity and student athlete which their endowment is funding.
  • Obtain all information from necessary colleagues regarding endowed scholarship awards.
  • Audit endowment agreements and ensure distributions are being spent correctly. Work with colleagues to annually review endowment agreements to ensure that donor intention is being followed.
  • Work with Spartan Fund development officers to assist with drafting donor endowment gift agreements, and oversee the tracking of approval/signature process for the Spartan Fund team.
  • Assist with planning, organizing and executing annual endowment event
  • Work with Spartan Fund development officers to facilitate publicity of major gifts and donors with unit communications office and University Advancement.
  • Work with internal Athletic units to annually review scholarship agreements to ensure that donor intention is being followed.
  • Work with Spartan Fund Director of Special Events & Stewardship, the Spartan Fund team, and head coaches in identifying creative opportunities to engage and steward donors.
  • Implement and oversee comprehensive tracking system for stewardship, including Nike gear, coach autographed memorabilia, invitations, tickets, parking passes, etc.
  • Work with Spartan Fund Sr. Director of Special Events & Stewardship and the Spartan Fund team to identify stewardship strategies for top donors and identify VIP donors to receive impact/stewardship reports annually.
  • Collaborate with colleagues on materials to support active engagement of alumni and donors.
  • Assist Spartan Fund Sr. Director of Special Events & Stewardship with event preparation in the form of, but not limited to, event registrations, name tag preparation, gathering of event supplies, uploading participation data, planning events and coordinating event and/or travel details.
  • Assist Director of Spartan Fund and Sr. Director of Special Events & Stewardship with the Athletic Director's Campaign Council.
  • Serve as an advocate for Athletic donors, alumni and friends.
  • Manage the acknowledgement/thank you letter process for Athletic Director, Spartan Fund Director, as well as head coaches on an as needed basis.
  • Review all letters for accuracy.
  • Work with Operations Team to produce, mail and document acknowledgements. Qualifications
    • Knowledge equivalent to that which normally would be acquired by completing a four-year degree program in communications, public relations, marketing, business, liberal arts or related field.
    • Three years related, and progressively more responsible or expansive, work experience in the field of Advancement, alumni/donor relations, public relations, marketing or related field.
    • Proficiency in word processing, database and spreadsheet software
    • Collaborative team-oriented style
    • Excellent interpersonal and customer relations skills; ability to work with a wide variety of personality types
    • Knowledge of principles and techniques relevant to major gift fundraising
    • Ability to manage, analyze and report data.
    • Ability to implement programming and strategic initiatives.
    • Ability and willingness to work nights, weekends and holidays as needed. Preferred Qualifications:
      • A Bachelor's degree
      • Excellent writing skills
      • Understanding of database segmentation, and prospect identification
      • Experience using design software (ie: InDesign and PhotoShop)
      • Creativity, curiosity, sense of humor, high energy level, and enthusiasm for meeting and working with a wide range of individuals
      • Self-starter, with demonstrated ability to take initiative
      • Good decision-making skills, tactful, strong listening skills, willingness to search out answers, ability to recognize when others need to be involved in activities or decisions
