Title: Project Coordinator

Reports To: Senior Project Manager

Location: East Lansing, MI

Department: Information Technology

The Project Coordinator directly assists the Senior Project Manager with the project management process; including prioritization, resource and time estimates, project plans, schedules, budgets, and expenditures. This role will aid the Senior Project Manager with administrative tasks within larger projects and will independently manage projects more limited in scope and budget.

The Project Coordinator organizes meetings, resources, and information and ensures projects run smoothly by controlling workflow, scheduling assignments, evaluating the course of the project and reporting its status to the appropriate stakeholders. These key responsibilities work toward the ultimate goal of seeing projects through on time and within budget.

You are energized by working with a collaborative team and industry peers to support Michigan public schools through their challenges. You seek understanding and are motivated to tackle projects and problems with the customer in mind. You anticipate needs and preempt challenges and concerns, delivering increasingly relevant customer experiences over time. You are a detail-oriented problem-solver with one to three years of experience in a professional business setting. You have the willingness to obtain a project management certification, or you already have one. You have exceptional customer service, organizational, time-management, and multi-tasking skills, as well as strong analytical abilities.

Primary Responsibilities:

  • Organizes, attends, participates and/or facilitates project meetings while thoroughly documenting key discussions, decisions, and action items.
  • Prepares correspondence related to project, reviews and distributes project documents.
  • Tracks and follows up on outstanding actions and decisions.
  • Create detailed project schedules, including all administrative tasks and stakeholders involved in the project and collects documents to orient and guide projects and outcomes.
  • Proactively anticipates and resolves problems.
  • Manages expectations and tracks risks and benefits.
  • Coordinates activities and resources for projects that impact multiple departments and/or for multiple projects.
  • Maintains project records and ensures that all regulatory documents are correct, processed and approved.
  • Assists in preparing reports and data collection for analysis.
  • Provides administrative support as needed to the Senior Project Manager.
  • Follows project framework as established within the PMO.
  • Proactively develops an understanding of SET SEG business processes and systems.
  • Other duties as assigned.

Required Qualifications:

  • Bachelors degree is preferred or equivalent combination of education, certification, and experience.
  • One to three years of experience in a professional business setting is preferred.
  • Project management certification or willingness to obtain certification is preferred.
  • Demonstrated ability to build consensus across teams and maintain strong relationships.
  • Outstanding customer service skills.
  • Demonstrated ability to learn new software quickly and to understand technical information and communicate it to others using clear, concise, and user-friendly language.
  • Documentation management and ability to use project management tools
  • Strong written and verbal communication and interpersonal skills.
  • Strong organizational and multi-tasking skills.
  • Excellent analytical and problem-solving abilities.
  • Time management skills with the ability to meet deadlines with attention to detail, even under pressure.

Physical Demands / Work Environment

Several hours per day at a sit/stand desk, average mobility to move around an office environment; able to spend several hours per day at a computer; travel to various locations throughout Michigan.  Punctual, regular, and consistent attendance is required.  May require on-call availability and may require working during non-business hours and on weekends.
