The Fiscal/Office Manager will play a key role on the CLACS team, working closely with the Director and Associate Director to plan and manage the center's activities.Essential Duties & ResponsibilitiesFinancial Operations:+ Prepare and submit finance eDocs into EBS, including cost distributions, budget reallocations, and transfers of funds. Prepare travel authorization and cash advances and process travel reimbursements using Concur. Prepare Distribution of Income and Expenses forms and process payments to vendors+ Oversee, analyze, review, and reconcile monthly ledgers and all transactions, including for purchasing card, and maintain supporting documentation+ Perform budget and financial forecasting and pull data from university systems to produce reports+ Manage endowment activity, reinvest/hold, and generate reports+ Disburse student scholarships, fellowships, and grant awards+ Ensure compliance with university business policies, procedures, and regulations+ Allocate transactions to accounts, ensuring that funds are spent in accordance with the fiscal policy, account and/or grant purpose, research, and take corrective action when necessary+ Plan, prepare, and maintain budgets for grant and university general accounts (general funds, endowments, gifts, strategic partnership subaccount, etc.)+ Pre- and post-award grant responsibilities, including reporting financials and award information via various sponsor-supported reporting systems and to Contracts and Grants AdministrationAdministrative Support:+ Report on key metrics and performance indicators to center director and associate director+ Collect information and maintain up-to-date spreadsheets on center activities, core faculty membership, awards, course offerings, mailing lists, etc.+ Serve as human resources contact, including initiating appointments, hiring students and temporary employees, change of status forms, etc.+ Provide first-level supervision for student employees by training, creating work schedules, tracking and submitting hours worked for payroll+ Schedule meetings and rooms, facilitate event logistics, and manage office supplies and services+ Coordinate domestic and international travel arrangements for CLACS staff and visiting scholars+ Liaise with other campus units to resolve issues.Unit Specific Education/Experience/SkillsKnowledge equivalent to that which normally would be acquired by completing a four-year degree program in accounting or finance with relevant course work in business administration; six months to one year of related and progressively more responsible or expansive work experience in accounting procedures and principles including budgeting, auditing or financial analysis; experience with word processing, spreadsheet, and email software; experience with meeting scheduling/polling apps; or an equivalent combination of education and experience.Desired Qualifications+ Experience with Microsoft Office applications including Word, Excel, PowerPoint, and Outlook+ Administrative experience at a university, including budgeting and financial tracking of expenses+ Experience in the KFS and SAP modules of EBS; experience with submitting finance eDocs in EBS+ Knowledge of university policies, procedures, and administrative systems+ Experience with MSU accounting and purchasing card policies and procedures+ Proficiency in pre-award budget and proposal development+ Proficiency in post-award fiscal functions, compliance, and reporting+ Excellent written, verbal, and interpersonal communication skills+ Ability to work independently and to multitask with accuracy and attention to detail+ Ability to meet and manage deadlines+ Spanish language would be a plusEqual Employment Opportunity StatementAll qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, citizenship, age, disability or protected veteran status.Required Application MaterialsResume and cover letterTogether-we-will StatementThe university is requiring all MSU students, faculty and staff to be vaccinated against COVID-19 with limited exceptions.
