Order and maintains inventory of supplies. Maintains and oversees the security card system. Administrative tasks. 1. Greets office visitors, answers and directs telephone calls, takes and distributes telephone messages.2. Maintains a safe and clean working environment in the reception area, including the large conference room.3. Maintains and oversees the Brivo Security Card System, including auditing of all users access.4. Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.5. Assist with temporary employee orientations (RJPs), including tracking of employee information. 6. Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.7. Types/generates policies, procedures and other documents, as necessary.8. Responsible for confidential and time sensitive material.9. Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions10. Assists the Human Resource and Administrative Departments as necessary.11. Maintains all administrative lists/logs including, but not limited to all security access; office supply budget, and Repairs/Service Contact Sheet.12. Coordinates breakroom cleaning schedules and procedures. 13. Posts items to The Watercooler as needed.14. Prepares outgoing/log incoming shipments.15. Ensures document control of mail and project correspondence.16. Performs other duties as may be assigned by management.--Essential Duties and Responsibilities: - Prepare weekly internal reports.-- - Perform accurately all data entry functions. - Arrange meetings as required.-- - Attend meetings and take minutes. - Understand broad knowledge of departmental and company practices to assist leadership team and staff while exercising judgment on critical nature of information and confidentiality. - Assist in on boarding process of new hires. - Maintain records management, filing, retention, and/or labeling.-- - Type/generate letters and other documents, as necessary.-- - Maintain confidentiality and security of all relevant information. - Assist supervisor and leadership team with special projects and tasks on an as needed basis, including management of inventory and supply orders. Serve as a back up to support reception, as needed. - Assist internal and external customers in problem resolution, as needed.-- - Provide excellent customer service. - Operate multi-line phone system, answer incoming telephone calls and perform other clerical duties proficiently and professionally. - Assist with ensuring accuracy of eMAP database for e-mail distribution lists for Project offices and departmental groupings for internal mail communications, and submit tickets for resolution of inaccuracies, as required. - Serve as a member of the Social Committee to assist with social event management and coordination of initiatives designed to increase Project morale.
